1. Introduction

2. Be a active listener

Communication is a two-way process, to communicate efficiently we not just have to express ourselves but also to listen to other person, and listening is not just listening like listening to music and its tunes it should be active listening. While listening to other you should also show your participation by saying words like ‘ yes ‘, ‘ humm ‘, ‘ I agree ‘,etc , it shows our active involvement in the conversation. You can also ask counter questions.

3.Maintain eye contact

the reason word ‘ eye contact ‘ have the word ‘ contact ‘ in it is because it really make us feel connected with the other person, we should have gentle eye contact which means we should not stare at them, or look at them for too long at one place or spot what we should be doing is doing normal blinking of eyes, shifting our gaze to other stuffs too, and while we look at other things it should not feel like we are annoyed or disturbed or distracted by the presence of that object.

4. Take a pause as and when needed

When you have talked for too long you can take a pause, it can be taken knowingly and unknowingly. It can be like taking a sip of water, cracking a joke, you can even simply not say any words and catching your breath. You can also take pause by not saying anything. If you want to take a pause in-between the conversation you can say ‘ can i take a brake ‘ ,’ let me think about it ‘, ‘ I need time to think ‘, etc.

5.Play the pitch and volume game

When we are talking in a group or in a front of masses, we should use our pitch and volume technique. We can use them as for getting the topic cleared in people mind, We should use loud voice and must have enough gap between the words so that they can process it in their mind and if want to target anything specific in our conversation, we should speak in bit low volume the regular but in high pitch and increase the gap a bit in between the words, by doing this we will give their attention as they will put extra effort to listen to us and by this they will get our message as their brains have given effort that means it is going to retain it for little longer than usual.

6.Try not to correct and interrupt

Why should we not correct and interrupt someone even if they have done a clear mistake in public while communicating and what is the right way to correct them, we should be doing instead.

We should not correct or interrupt because if we do this in public or even in person, the person may feel humiliated and embarrassed, as there can be many reasons he/she have done this wrong, that can be the is a introvert and he speaks very less in the public and may never try again if humiliated or made fun of. The person may not be a native English speaker; there can be difference in grammar as there are many types of English e.g. British English, American English and accent, he may be trying first time in public.

This is what we should be doing instead, we should let him compleat their message and then as ‘is ‘This” what you mean to say’ or ‘I didn’t got you at “DASH” ‘, or ‘do you mean….. ‘, and if you are friend to them, you can tell them what they can do to improve and avoid it next time.

7.Learn to say “NO” (Directly and Indirectly)

There are few times or people at or with which we do not want to help but we were not able to say ‘NO’ to the person or at the situation. These are few things which we can do.

Saying No directly: There are times when you can say no directly, for e.g. to your younger siblings or your friends. But there are moments when people try to impose their work on you and then take the credit of completion you should say no to them as if you don’t they will think you will do anything if they say it to you or say pleas to you if you say no then they will come and say sorry or pleas to you to convince you far the work which they should be doing. You should say directly that ‘words like sorry and please don’t work for me’.

Saying no Indirectly: To say No indirectly what you can say is ‘I really do want to help you, but my schedule or work is too packed, I am busy. This can only work few times if you want it to be more impactful what you can say is ‘I can’t help you, I have work of my own’ or ‘I do my work myself you should too’, this will send indirect message to them that they should do their work on their own. This might hurt their feelings too.

8.Be Concise and Clear

What I mean by ‘ Be Concise and Clear’ is t be a effective communicator these are few of the things that i practice you can try:

  • Try to say more in less words.
  • Answer in pointers e.g. top 5 things you should do to ……..
  • Give Real world and relatable examples.
  • Don’t say I don’t like this rather say specifically what is it you don’t like.
  • Answer in yes and no if possible.

9.Remember and mention Names

If we remember someone’s name, we can use it when we are taking to them. When we mention someone’s name while communicating the person pays more attention and feel more recognized, which can build trust, connect, warmth, rapport, but if we overuse it or if it sounds forced it can feel awkward, manipulative, or too familiar instead of friendly. Hearing one’s own name, one tends to trigger attention and self-relevance, so the person belongs more engaged in the conversation. It signals that you are speaking to the specific person, not just talking generally.

It helps in start of a conversation to emphasize a important point. closing a message and it also show care or attentiveness. It backfires if we overuse it by repeating the name too often as it sounds rehearsed, manipulative, overly intimate or creepy.

10. Conclusion

All these points when used we should keep in mind to not to overuse them and misuse them as if used at wrong place and wrong time it may cause trouble and bring the whole good mood situation into bad situation if used inappropriately.
